Recruitment automation tools have become indispensable support. They allow us, recruiters, to focus on strategic aspects of recruitment and creating valuable relationships with candidates. Do you want to improve your work, but you don't know where to start? In this article I will present several free solutions that I had the opportunity to test and which are worth taking a look at.
Organization of meetings
Is your everyday life searching for people to work with, talking to interested parties, arranging meetings with hiring managers? If so, you know that it is a very time-consuming task. First, you need to find the perfect date for you and the people who want to know the details of the process, wait for confirmation, then in the next stages arrange meetings with other people, which often requires taking into account several calendars, again waiting for confirmation...
There are tools that work like a virtual calendar where you mark available meeting times so you can schedule calls faster. Importantly, this way you can compare the availability of all people involved in the recruitment process in one place at the same time.
Advantages? This type of software eliminates the need to exchange messages to find out the available dates of each meeting participant. A person who chooses the date of the interview (e.g. a candidate in the recruitment process) is more likely to show up at the meeting. With one click, you can also cancel or change the date of an already scheduled conversation.

Creating your own workflow
As part of your duties, do you perform many repetitive and multi-step tasks? If so, platforms like Zapier,Make and Pabbly will turn action planning into a click! The idea behind these tools is to create patterns for performing specific tasks in a given sequence. Interestingly, they even include tasks from multiple applications at the same time.
For example, if you collect weekly recruitment data, instead of manually notifying the appropriate people about updates and their details, the system will identify changes in the data and then use them to smoothly perform the tasks you specify in selected, integrated programs.
Moreover, if you receive a lot of emails with attachments that escape your attention, you can automatically save them in the virtual space - immediately after receiving them!
If you find it challenging to wait for feedback on recruitment tasks, you can set up a notification system on Slack (one of the popular messengers in the IT world). The information can then reach both you and the designated hiring manager in real time. Effect? Quickly start the solution verification process from candidate!
By using the capabilities of the platforms I mentioned above (as a reminder - Zapier, Make, or Pabbly) you not only improve your workflow, but also gain space and time for other tasks.
One-way video interviews
A one-way interview, also called asynchronous, is a solution supporting the initial selection of people interested in recruitment for a given position. The uniqueness of this approach lies in preparing the same questions for all applicants, whose task is to answer them in video form.
One of the advantages of a one-way interview is that it allows candidates to answer questions at a place and time of their choosing. They can use any device with recording capabilities. This flexibility benefits both applicants and recruiters. It makes the process more convenient and much faster for all parties.
Recruiters can review recorded video responses at their own pace, avoiding the need to conduct live interviews during the pre-selection phase. Additionally, multiple team members can independently view and rate video responses. This can help minimize bias and provide a more objective opinion for candidates. Video interviews also allow you to more quickly test your communication skills, presentation skills and attitudes, which can be important for customer service positions or positions requiring strong interpersonal skills.

A word of conclusion
Automation can significantly simplify everyday tasks, speed up processes and minimize human errors. In my case, implementing these tools turned out to be a bull's-eye. The entire process of implementation and getting used to changes in the organization of my work was quick and intuitive. I especially appreciate the ability to automate the organization of meetings and integrate my calendar with a specific messenger. In the context of international recruitment and contact with passive candidates, this significantly speeds up the processes, and thanks to this I can achieve recruitment goals more effectively and efficiently.
