It was from this service that we started to create Bee Talents. Although for some time the RPO (dedicated recruiter) model was more popular, for several months we have been observing renewed interest in cooperation on the RF/SF basis - both from returning customers and completely new ones.
What is RF/SF in Bee Talents?
RF/SF (retainer fee / success fee) is a model of working with recruitment agencies in which the cooperation is not time-limited and ends only when the right person is hired to the client's team. Importantly, you can order a single or several recruitments from us, and we will take care of the entire process and deliver specific results in cooperation with your team.
At Bee Talents, we care about maintaining high standards of cooperation, which is why recruiter handles fewer recruitment projects than what we normally encounter on the market. Working in up to 6 projects at a time, the recruiter can devote enough attention and time to clients to achieve the best result.
But it is not everything! Below is a list of our team's key practices, which, from our experience, affect the efficient recruitment process and good communication with our clients.
RF/SF in Bee Talents - our practices
Kick-off meeting
That is the first, about an hour long conversation between the Bee Talents project team and the client. Based on the methodology developed by us, we collect all information about the company, the role and expectations of the client. The purpose of the meeting is to equip us with a complete set of information to start, thanks to which we can not only create valuable communication (in the form of creating an advertisement or messages to candidates), but we are also able to effectively answer candidates' questions.
The meeting ends with us sending a summary in the form of a table, in which both we and the client can check the findings at any time. This means that during the cooperation we do not need to ask about the things that were raised during the kick-off, but only about additional issues, e.g. those resulting from the candidates' detailed questions (if any).
Our experience shows that the kick-off meeting both significantly accelerates the start of the recruitment process and facilitates cooperation between our team and the Hiring Manager.
Communication speed
During our 8-year adventure with recruitment, we have tested many forms and channels of communication. It turns out that in addition to regular e-mail contact, a channel on Slack is also a good method. Importantly, clients have contact with the person leading the project and with the leader. This combination means that we not only provide current knowledge about ongoing activities and the status of the process, but also provide constant support for the supervisor.
Why do we care about perfect communication? Because this translates into efficient contact with candidates and significantly increases the chance of quickly closing the process! The recruiter supervising the process keeps the client informed about feedback on how the offer is received on the market, but also sends a detailed brief about each candidate with complete information about his/her motivation, experience, expectations and availability.
What our clients say about communication:
“The success of the cooperation between BeeTalents and Grupa Żywiec is mainly due to transparent communication, mutual respect, common goal and care for the positive experience of candidates during the recruitment process.”

Regular reporting
Once a week, each client receives a report from us. It is a clear and understandable summary of the work done in a given period, along with the number of candidates in the process and an annotation at what stage of recruitment they are at. The report also contains a set of data, i.e. information on conversions with a comment relating the result to the market situation. For our part, in each report we also present steps for the next week along with suggestions on what is worth changing in the process.
We care about building partner relations with clients - and clear communication is its basis. Regular reports allow us to quickly spot areas for improvement in the process and ensure the safety of both parties. Each of the people involved in the cooperation knows what is happening in it at any time!
What our clients say about the reports:
“Cooperation with Bee Talents has brought us effective and efficient recruitment processes, despite the challenges related to the limited pool of candidates on the market. Regular reports and detailed statistics ensured transparency and the ability to monitor progress on an ongoing basis, and their understanding and flexibility towards our needs contributed to filling all open roles in our organization.”

Team sourcing
Some of the recruitments are more difficult - due to a niche position or market situation. In such a situation, our team turns into a real… ul - and other Bees are involved in such a project. How do we do it?
At the beginning of Bee Talents' existence, we developed a team sourcing technique, which consists in reserving the time of a larger group of recruiters in the organization to write messages for one recruitment project. This means that the Bee Talents team is able to create as many personalized messages to potential candidates for a specific position in just one hour as one recruiter would write for several hours. Thanks to this, we reach the maximum pool of candidates in a relatively short time.
This is a strategy that has successfully helped us deal with many recruitment challenges!
